Founder-led Custom AI Agent Design

Your company does not need another generic AI tool.

Apex Blue combines decades of marketing, systems, and operating experience with modern AI engineering to build an agent around your company's knowledge, workflows, standards, permissions, and goals. Your team gets one useful operating capability—not another tool or pile of prompts to figure out.

The Problem

Off-the-shelf AI asks your team to do the hardest part.

One-size-fits-all tools can be impressive and still leave the business overwhelmed. Someone must decide what the AI should know, which workflows matter, how systems connect, what authority is safe, and whether the result is worth the effort.

Generic tools do not know your company.

A blank chat window starts without your operating context, preferred methods, approval rules, or definition of a useful result.

The pieces arrive disconnected.

Prompts, files, subscriptions, automations, and dashboards pile up while the team is left to decide what should work together.

Permissions are hard to judge.

Teams need to know what an agent may read, draft, change, or send—and exactly when a person must approve the next step.

The ROI stays vague.

AI experiments create activity, but not always a clear owner, repeatable workflow, measurable business outcome, or durable company capability.

What Apex Blue Installs

A durable agent system, not a clever demo.

The implementation is designed so useful company context, repeatable skills, connected systems, and authority boundaries survive beyond one conversation.

Technology selected for the job. Judgment led by Apex Blue.

The value comes from experienced discovery, custom architecture, responsible governance, and an operator who remains accountable from design through adoption.

01

Durable company instructions

The agent receives a maintained operating brief covering your company, priorities, standards, language, constraints, and decision rules.

02

Reusable skills

Important procedures become repeatable skills with clear inputs, steps, review criteria, and outputs instead of one-off prompt experiments.

03

Approved connections

Apex Blue connects only the tools and data sources approved for the engagement, using the access method and account ownership defined in scope.

04

Permission and approval boundaries

The design states what the agent can inspect, draft, recommend, update, or send—and which actions always require a named human decision.

05

Testing and exception handling

Representative workflows are tested before handoff, including incomplete data, uncertain answers, failed connections, and sensitive decisions.

06

Documentation and training

Your team receives the operating guide, skill register, connection map, approval model, and practical training needed to use the agent responsibly.

Visible Authority

The agent should know when to work—and when to stop.

Apex Blue defines authority before launch. Your agent can support useful work inside its approved lane without pretending that every decision should be automated.

Read

Which approved files, records, pages, and systems may the agent inspect?

Draft

What may it prepare without changing a live system or contacting another person?

Recommend

Which decisions should arrive as an evidence-backed recommendation for an owner?

Act with approval

Which changes, messages, purchases, publications, or sensitive steps require confirmation?

Six Practical Use Cases

The right agent starts with a responsibility, not an industry template.

Law firms, manufacturers, field-service companies, multi-location brands, specialty healthcare organizations, and B2B teams all work differently. The useful question is: which repeated responsibility would become more valuable with better context, tools, and follow-through?

Use case 01

Growth and demand

Research a market, prepare campaign briefs, coordinate approved content, and keep the next revenue action visible.

Use case 02

Sales intelligence

Turn approved account, CRM, and market signals into prioritized research, useful briefs, and better-prepared outreach.

Use case 03

Client intake and service

Organize inquiries, identify missing information, prepare responses, and route exceptions to the right person.

Use case 04

Operations and knowledge

Help the team find procedures, prepare recurring work, maintain checklists, and turn approved meeting notes into useful company context.

Use case 05

Reporting and quality control

Assemble source-backed summaries, flag gaps, compare work with standards, and prepare decisions for human review.

Use case 06

Content and brand governance

Create from approved company truth, follow the brand system, and route sensitive claims or creative choices for review.

Apex Blue Meeting Companion

Available as a scoped implementation

A visible meeting companion that helps your company remember.

Apex Blue can scope a visible meeting companion for approved Zoom, Google Meet, or Microsoft Teams calls. The finished setup is designed to join with host authorization, stay silent, and prepare structured decisions, action items, and workflow opportunities for your team to review.

  • Zoom
  • Google Meet
  • Microsoft Teams

Visible and host-authorized

A finished implementation is configured to join under its own name and begin note taking only after the host enables the session.

01

Permission comes first.

Admin rules, host approval, participant disclosure, note delivery, and retention are defined before the first session.

02

Private workspace by design.

The scoped design keeps approved notes inside Your company workspace and does not enable shared memory between client workspaces.

Planned client isolation

03

Concurrent meetings require separate instances.

Design example
9:00 AMLeadership stand-upProposed instance 01 · separate workspace
9:00 AMPipeline reviewProposed instance 02 · separate workspace

The implementation plan assigns one companion instance to each approved meeting so concurrent calls can remain distinct.

Availability depends on the selected platform APIs and the approved client setup. Access, transcription, retention, delivery, and concurrent-session support are tested and documented before launch.

The Build

From one valuable job to a working company agent.

A clear first responsibility keeps the implementation useful, testable, and accountable. Expansion comes after the first operating lane works.

  1. 01

    Choose the business job

We define one valuable responsibility, its current cost or friction, the people involved, and the result worth measuring.

  2. 02

    Design the agent

Apex Blue maps the instructions, skills, tools, data, permissions, approval gates, and exceptions required for that job.

  3. 03

    Build and connect

We engineer the company-specific agent and connect only the approved systems included in the written scope.

  4. 04

    Test with real scenarios

The agent is exercised against representative work, edge cases, unclear inputs, and actions that should stop for approval.

  5. 05

    Train and hand over

Your team learns how to request work, review outputs, manage permissions, update instructions, and identify the next useful improvement.

Your Specialist Design Team

Founder-led design, strengthened by the Apex Blue AI C-Suite.

Truth, Brand, and Ownership

Your agent should be inspectable by the people responsible for it.

Apex Blue makes the operating system visible. SourceLock can organize approved company truth and claim review. DesignLock can carry brand decisions into repeatable creative guidance. Both support the custom agent without replacing human accountability.

What it knows

A visible instruction system

The company context and operating rules created for the engagement are organized so your team can understand what guides the agent.

What it can do

A documented skill register

Each reusable skill has a defined purpose, expected inputs, review requirements, and output instead of disappearing into a black box.

What it can reach

A connection and permission map

Approved systems, account ownership, access levels, human approvals, and restricted actions are recorded for the people responsible.

How your team runs it

Training and operating documentation

The engagement includes practical handoff materials. Apex Blue does not make basic understanding dependent on a mystery dashboard or hidden prompt library.

Questions Leaders Ask

Clear answers before a custom build.

The agent’s job, access, authority, ownership, measurement plan, and ongoing responsibilities should be understandable before implementation begins.

What is a custom AI agent?+

It is an AI system designed around a defined job inside your company. Apex Blue builds it with durable company instructions, reusable skills, approved tools and data, explicit permissions, human approval boundaries, testing, and documentation so it can support real work instead of acting like a generic chat tool.

How does Apex Blue choose the right AI foundation?+

Apex Blue starts with the business job, the people involved, the available data, the risk, and the required result. We select Codex or other approved technology when it is the right foundation, then supply the company-specific architecture, skills, permissions, approval gates, testing, and operating guidance.

Is Apex Blue affiliated with or endorsed by OpenAI?+

No. Apex Blue is an independent services company. We build client systems using OpenAI Codex and other approved technology where appropriate. Use of OpenAI products does not imply a partnership, sponsorship, or endorsement.

Will the agent act on its own?+

Only within the permissions and approval model agreed for the implementation. An agent may be allowed to inspect, organize, draft, or recommend while higher-impact actions remain behind human confirmation. The written design makes those boundaries visible.

Can the Apex Blue robot join our company meetings?+

A visible Apex Blue Meeting Companion is available as a scoped custom-agent implementation for approved Zoom, Google Meet, and Microsoft Teams calls. The organizer invites it like another participant, authorizes note taking, and controls retention. It can prepare source-linked notes, decisions, action items, and workflow opportunities for review. Only approved insights enter the client’s private company knowledge, and meetings are not invisibly recorded or described as training a public model.

Does the company own the agent?+

Ownership and access are documented in the engagement scope. Your company receives the instructions, reusable skills, connection map, permission model, and operating documentation created for the implementation, subject to the terms and licenses of third-party platforms used by the system.

How much does a custom AI agent cost?+

A custom Apex Blue agent implementation starts at $40,000. Final scope and price depend on the job, systems, data, connection requirements, testing, and risk boundaries. Optional ongoing managed growth operations are a separate engagement and can start at $40,000 per month.

How is this different from the AI Website Agent or a Revenue Mission?+

The custom AI agent is the broadest company-specific implementation. The AI Website Agent is a focused website and conversion path. A Revenue Mission is a defined campaign built around one measurable commercial outcome. Either can be a sensible starting point when a full custom agent is not yet required.

What should we build first?+

Start with a responsibility that is valuable, repeated, understandable, and owned by a real person. Apex Blue will help separate a strong first agent job from work that is too ambiguous, too sensitive, or not yet supported by usable systems and evidence.
