Your staff should not have to move every email, meeting, and document into a separate interface to benefit from AI. Where the work lives is part of the platform decision.
Apex Blue brings 28 years of online marketing experience to implementation. We care about the work that improves a customer conversation, prepares a useful proposal, or makes a follow-up happen. Copilot is worth assessing when that process is already centered on Microsoft 365.
How is Copilot different from an OpenAI model?
A model supplies AI capability. Copilot is a product experience that combines models, Microsoft applications, and permitted work information. Selecting Copilot is therefore a decision about workflow, identity, administration, and integration as well as answer quality.
Microsoft's documentation describes grounding in Microsoft Graph and assistance across its productivity applications. Work-data access depends on the licensed experience and configuration. Microsoft is transitioning some product names from “Microsoft 365 Copilot” to “Microsoft Copilot”; verify the exact license rather than relying on a label. What is a useful Copilot workflow for a service company?
Consider the interval between a discovery meeting and a proposal review. A scoped workflow might help the team summarize the meeting, find relevant permitted material, prepare a Word draft, and assemble an Outlook follow-up for review.
The firm still needs to decide which requirements were accepted, who owns open questions, and whether pricing and scope are approved. A useful pilot checks the entire handoff. A good summary that never reaches the person responsible for follow-up has not completed the business job.
Should we choose ChatGPT or Copilot for business?
Compare a specific task. Copilot may suit work inside Microsoft applications where native context and familiar controls reduce friction. ChatGPT or a custom OpenAI agent may suit a wider process spanning a CRM, website, external data, or a purpose-built interface.
A company can use both with clear boundaries. Avoid duplicate subscriptions for the same unresolved job. Define which product owns the task, where the authoritative information lives, and who maintains the workflow.
Our OpenAI-first approach is a preference for a strong starting point. It is compatible with recommending a native Microsoft product when that is the sensible place to do the work.
Do our existing Microsoft permissions make Copilot ready to use?
Permissions are a starting point, not proof that the underlying sharing is appropriate. Review broadly shared folders, outdated access, sensitive files, guest access, and data ownership before expanding AI-assisted discovery.
Microsoft states that Copilot uses permitted Graph content and that prompts, responses, and Graph-accessed data are not used to train foundation models. The exact service boundary and controls still need to match the experience you enable. Microsoft's data and privacy documentation.
We include licensing, retention, audit requirements, external search, connected agents, and offboarding in the assessment. Compliance obligations attach to the whole workflow, including any connected service.
Is Copilot cheaper because we already pay for Microsoft 365?
Existing Microsoft 365 spend does not establish that every AI feature is included. Check the current license, eligible users, consumption charges, and any required add-ons.
Compare total cost per accepted task: licenses, setup, data cleanup, usage, review, rework, and support. Native convenience may reduce implementation effort. A more involved cross-system process may justify a custom design. Neither conclusion follows from subscription price alone.
When does a custom agent add value beyond Copilot?
A custom agent can be useful when a repeatable process needs company-specific rules, an incoming event, controlled integration, or a dedicated interface. For example, a lead qualification workflow might need to check service area, consult CRM history, prepare a response, and route an exception to a person.
The right design may keep Microsoft 365 as a source or destination while using a separate agent for the wider process. See custom AI agent development and our model selection framework.
What should a pilot prove before a wider rollout?
Choose one team, one recurring task, approved sample inputs, and a named reviewer. Measure factual accuracy, missed actions, review effort, adoption, operating cost, and the next business step.
Only expand when the team can repeat the process and recognize when it needs human help. A broad license rollout is easier to buy than a useful operating habit is to build. We focus on the habit and the work it improves.
