Meeting Analysis Refund Policy

Meeting Analysis is a one-time strategic service. Refund decisions account for whether the workspace has been activated and whether a provider connection, transcript processing, AI analysis, or report work has begun.

Before activation and processing

If you request cancellation before the private workspace is activated, before a provider is connected, and before Apex Blue processes meeting data, contact us promptly. When no service work or nonrecoverable cost has begun, Apex Blue will normally approve a full refund to the original payment method.

After work begins

Once workspace activation, a customer-authorized provider connection, transcript ingestion, AI processing, or report generation has begun, refund requests are reviewed case by case. Any approved refund may be reduced by completed work, consumed analysis capacity, and direct or nonrecoverable third-party processing costs. Completing fewer meetings than the plan capacity does not automatically create a partial refund.

Provider limitations

The customer is responsible for an eligible meeting-provider account, native transcription availability, administrator permissions, participant notice, and timely connection. A provider’s failure to create a transcript, a customer’s delay in completing setup, or meetings held without transcription does not automatically qualify the purchase for a refund. Apex Blue will review material service failures within its control in good faith.

Billing errors and approved refunds

If you believe you were charged incorrectly, email info@apex.blue with the purchaser email, company name, charge date, and a brief explanation. Do not send card details. Approved refunds are submitted through Stripe to the original payment method where possible; the financial institution controls when funds appear.
